Reporting Tool: Recruitment Analytics

The Reporting Tool Recruitment Analytics is a module that can be added to HROffice. With this module, you can view reports and gain clear insights into your KPIs, candidates, vacancies, and feedback data. In addition to commonly used reports such as lead times, cost per hire, time to hire, and the number of vacancies per department, you can also export complete datasets to Excel.

This manual provides more information about all the features of Recruitment Analytics.

The Recruitment Analytics module contains the following reports:

  • KPI-pagina (KPI Page)

  • Kandidaten details (Candidate details)

  • Kandidaten data (Candidate data)

  • Kandidaten historie (Candidate history)

  • Vacature details (Vacancy details)

  • Vacature data (Vacancy data)

  • Vacature historie details (Vacancy history details)

  • Vacature historie data (Vacancy history data)

  • Feedback details (Feedback details)

  • Feedback data (Feedback data)

  • Preselectie vragen data (Pre-selection questions data)

  • Google Analytics (Google Analytics)

Filtering data

To retrieve the correct information from your data, use the various filtering options, which can be found under the funnel icon. For example, you can filter data by a specific period or vacancy. You can also use multiple filters at once. The available filters may vary per report depending on the information found in the report. For example, in the "candidate details" report, you will not find the "vacancy placement date" filter because it is not applicable.

  • Application Date

    This filter retrieves information about candidates who have applied within a specific period.

  • Vacancy Posting Date

    This filter retrieves information about vacancies that were posted within a specific period.

  • Departments

    Select the department for which you want to view details. Departments are selected based on your entities.

  • Vacancy handler

    Select all details of vacancies with a specific manager. The manager is added to a vacancy when it's created and is responsible for the vacancy.

  • Vacancy

    This filter retrieves information from a specific vacancy or vacancies. For example, you can view details of a specific job category.

  • Candidate Handler

    Select all details of vacancies with a specific candidate handler. The handler is added to a vacancy when it's created and is responsible for handling candidates, often the manager under whom the vacancy falls.

  • Candidate status

    Filter data from HROffice for all candidates to whom you have assigned a specific status.

  • Vacancy Publication Status

    Filter data from HROffice for all vacancies with a specific publication status. The options are: archived, unpublished, published, and published with hire(s).

  • Last status

    Select all details of candidates based on the last status in HROffice.

  • Language

    If you publish vacancies in different countries and languages, you can filter by the language for which you want to view data.

  • Campaigns

    If you use campaigns to reach more job seekers with your vacancies, you can filter by the campaign for which you want to view data.

  • Source

    If you have linked Google Analytics to the Recruitment Analytics module, you can filter by the source of applicants for your vacancies.

  • Medium

    If you have linked Google Analytics to the Recruitment Analytics module, you can filter by the medium through which visitors view and respond to your vacancies.

KPI Page

The KPI page is the landing page of the HROffice Recruitment Analytics dashboard. On this page, you’ll find several KPIs related to vacancies, candidates, and costs in one overview. The page is divided into two rows, with the top row fully covered by KPIs and the bottom row featuring two bar charts: Candidates per Vacancy and Candidates per Status. The top row is further divided into three sections, from left to right: Vacancies, Candidates, and Costs & Time.

The data can be filtered using the funnel icon in the top left corner. You can filter by a specific period, department, colleague, or vacancy. Additionally, you can select data within the charts, which will adjust the KPIs accordingly. Clicking on the data again within the chart will return you to the full overview.

Candidate details

On the Candidate Details page, you'll find information about candidates, including their current status, the lead times for each status, and how many candidates have applied each month. At the top of the page, there is a bar with KPIs. These KPIs provide an overview of your progress. All these overviews can be filtered using the funnel.

Candidate data

The Candidate Data page contains the underlying data of the candidates. Through this page, you can find key information for each candidate in a table overview. At the top of the page, there are 4 KPIs, from left to right:

  • Candidates

  • Hired Candidates

  • Time to Hire

  • Vacancies

The underlying data can be filtered using the funnel and exported to Excel by clicking the three dots in the top right corner.

Vacancy details

The Vacancy Details page is the detail page that focuses on vacancy data and the status of vacancies. The page is divided into four sections, each with its own purpose. In the top left corner, there are nine KPIs. The KPI block is divided into:

  • The first row shows vacancy costs, cost per applicant, and cost per hire. These costs are based on the information entered in the vacancy cost section of your vacancies. If nothing is filled in here, these blocks will be empty.

  • The middle row covers vacancies: Total number of vacancies, published vacancies, and unpublished vacancies.

  • The last row starts with the distribution: vacancies with hires and vacancies without hires, and finally, the time to hire.

In the graphs on the page, you can also see the status of your vacancies, how many vacancies the vacancy managers are handling, and the distribution of vacancies across your departments.

Vacancy data

On the Vacancy Data page, you can find the raw data of your vacancies. In the table, you'll see fields related to the settings of your vacancies. At the top of the page, there are 5 KPIs, from left to right: Total number of vacancies, Hired candidates, Candidates, Vacancy Costs, and Time to Hire. Each vacancy occupies a single row in the table.

The underlying data can be filtered using the funnel and exported to Excel by clicking the three dots in the top right corner.

Vacancy history details

On the Vacancy History Details page, you can find the publication history of vacancies. At the top of the page, there are 5 KPIs:

  • Unique Vacancies: The number of unique vacancies found in the changes.

  • Number of Changes: The total number of changes that have occurred.

  • Published: How many times the vacancies have been published.

  • Unpublished: How many times the vacancies have not been published.

  • Archived: How many times the vacancies have been archived.

In addition to the KPIs, there is also a table display of the changes (on the bottom left) and a pie chart showing the ratio between published and unpublished vacancies.

Vacancy history data

On the Vacancy History Data page, you can find the raw data of all vacancy history. In the table, you’ll see fields related to the publication history of your vacancies. At the top of the page, there are 5 KPIs, from left to right: Unique Vacancies, Number of Changes, Published, Unpublished, Archived.

The underlying data can be filtered using the funnel and exported to Excel by clicking the three dots in the top right corner.

Feedback details

On the Feedback Details page, there is an overview of the feedback to be given and requested feedback. The page is divided into 3 columns, with a table and corresponding KPIs above: Requested Feedback, Feedback Partially Completed, and the Average Response Time of Evaluators.

The underlying data can be filtered using the funnel and exported to Excel by clicking the three dots in the top right corner.

Feedback data

The Feedback Data page contains the underlying data from the Feedback Details page. The table lists all given feedback, along with the corresponding candidate, vacancy, and evaluator for each request. At the top of the page, there are two additional KPIs: the first KPI shows the number of feedback requests ("Number of Evaluations") that have been made, and the second KPI shows the number of candidates for whom feedback has been requested.

Pre-selection questions data

The Pre-selection Questions Data page contains the data of the pre-selection questions added to the application form. The page provides an overview of all the answered pre-selection questions that candidates have responded to. At the top of the page, there are two KPIs: the number of answers and the number of candidates who have answered the pre-selection questions.

The underlying data can be filtered using the funnel and exported to Excel by clicking the three dots in the top right corner.

Google Analytics

The last page of the dashboard is the Google Analytics page. Clients can connect their "working-at" website so that they can gain insights from Google Analytics in HROffice, such as the number of visits, device usage, and the source of applications. The dashboard is divided into four blocks, with each block providing different insights about the "working-at" page.

At the top of the page, on the left side, there is a date filter selection. This allows you to filter the data based on a specific period or date range. The buttons allow you to change the method of selection. On the top right, you'll find information about the timeliness of the data, the currently selected period, and the previous period, which is the comparison period. All comparisons and values you see on the dashboard are based on the periods displayed here.

The block in the top left consists of several KPIs that are related to each other. In the top row of this block, the KPIs are: Website Visits, Applications, and Application Ratio. It's important to note that this refers to visits, not visitors. Identifying a unique visitor with Google Analytics can be difficult and unreliable, while a visit is always unique. Comparing a visit to an application is therefore a good measure for the application ratio—how many applications are there relative to the number of visits.

In the second row of the same KPI block, you’ll find page views, vacancy page views, and application page views. These can be measured per vacancy or application page.

The block in the top right shows the distribution of visits and applications per device. The categories are Desktop, Mobile, and Tablet.

The block in the bottom left consists of tables with statistics about campaigns or vacancies. You can switch between campaigns and vacancies using the buttons.

The bottom right block provides a visual representation of the sources of applications and visits. This helps identify which sources generate the most applications or visits. You can also switch between applications and visits in this block using the buttons at the top of the block.
