Save candidates in talent pools for future vacancies.

Talent pools is an additional module within HROffice that we can connect for you. Talent pools can be used to store talents who applied too late or whose vacancy has already been filled.

Creating a talent pool

A candidate can be placed in a talent pool during or after the application process. Within HROffice, an unlimited number of talent pools can be created when the talent pool module is activated. When a candidate is in a talent pool, they can later be linked to a job vacancy.

You can create talent pools using the '+New' button at the top of your screen. Additionally, you can find talent pools in the menu on the left side of your screen.

Managing talent pools

Users whose role grants access to talent pools can view, edit, and delete candidates within the talent pools.

The user can only see which talent pool(s) the candidate is in if they have access to those talent pool(s). If a candidate is placed in two talent pools, but the user has access to only one of the two, the user will only see the placement in that one talent pool in the candidate's profile.

Candidates can be added to multiple talent pools.

Request permission to store data

When applying for a job vacancy, the candidate agrees that their data may be stored for a certain period of time. More information about data retention can be found in the guide on retaining candidate data.

To store a candidate's data for a longer period than the timeframe stated in your privacy statement, you need the candidate's consent. You can request this via the action button or in the candidate profile under GDPR.

Search within your talent pools

When you have a new vacancy that could match one of the candidates in your talent pool, you want to know as soon as possible. Using the search function in the talent pool, you can search for:

  • Candidate

  • Entity

  • Documents

  • Vacancy

The search function in documents is particularly useful here. For example, you can quickly find out if a candidate has mentioned certain skills in their CV.

In addition to searching with the search function, you can also add labels to candidates in your talent pool. This allows you to highlight important information that you may want to easily access later in the candidate's tile.

Communicating with your talent pools

Just like with other candidates in your process, you can communicate with candidates in a talent pool via the candidate profile. Itโ€™s important to stay updated on these candidates and maintain regular contact.

Through the talent pool, you can do this individually via the candidate profile or through bulk actions, allowing you to send a personalized email to all candidates (or a selected group) at once. Use this, for example, to provide an update about an upcoming vacancy or to ask if the candidates are still interested in a position at your organization.
